Tips on Moderating a Panel

Before I am completely subsumed by the end of the semester and holiday rush, a few post conference summaries:

In the spirit of SIG CON, the panelists (Abby Goodrum, KT Vaughn (also a C.K.T.), Pascal Calarco, and Nadia Caidi) at the Leadership Development program gave a humorous look (complete with expert whistle blowing by Trudi Bellardo Hahn whenever panel speakers exceeded their time limit or audience members had difficulty arriving at the point of their question) at some of the challenges associated with moderating a panel. Selected tips by topic:

Crafting A Panel:

  • Build session around a common theme
  • Focus on current or exciting problem in area of interest
  • Think: Will this be compelling in a year’s time?

  • Find others in SIG interested in working with you

Care and Feeding of Speakers:

  • Attention to detail is important. Stay in contact with speakers and keep the lines of communication open by acting as intermediary between speakers and conference organizers.
  • Keep your speakers on task with a realistic timeline and communicate expectations of topics to be covered early.
  • Try to carry the momentum of planning through to day of panel.

Bad things can happen even when you have been a diligent planner. Tips for crisis and time management on the day of your panel:

    Arrange for your speakers to meet you in your assigned conference room

  • Problem with the equipment in your conference room? ASIST typically has student monitors in conference rooms prior to each panel session. Introduce yourself to the student monitor! Monitors are there to assist with last minute media presentation needs and are a direct line to conference organizers.
  • Collect presentations from speakers as early as possible (prior to conference start) and have a memory stick or other portable storage device on hand the day of your panel.
  • This may sound like an obvious tip, but practice opening speaker presentation files before your session begins. If you have requested internet access, test this now.
  • The Leadership Development program organizers plan to make their handouts available on the Leadership Committee website.

What color crayon in a box of 64 would you most like to eat? New Member Brunch

The attendance at the New Member & First-Time Attendees Brunch had to be the largest group ever…117! I still can’t believe it has been three years since I was a new student member. I was one of the ASIS&T ‘celebs’ (Caryn and Elise the organizers are too kind) which included real notables like outgoing ASIST prez Michael Leach, Past Prez’ Sam Hastings and Candy Schwartz, Incoming Prez Edie Rasmussen, ASIST Membership Chair Kris Liberman (and founding chair of SIG-KNIT), KT Vaughn, (Constitution and Bylaws Committee (a rockin’ committee) chair and hilarious dining companion, Nadia Caidi, SIG III Chair, and Andrew Dillon, Dean of the I School at UT-Austin. Our duties included a short intro and raffling off information science books. There were also representatives from the various ASIST SIGs. After making it through the snaking food line and enjoying brunch we did something really fun to break the ice. After lining up along the walls of the room, we formed an inner and outside circle. We then took turns asking the person behind us several questions to be answered within 3 minutes. The person I queried about the historical figure she most identified with claimed Ranganathan. The response to most favorite crayon to eat was purple. I was stumped when asked to declare my favorite word, because, how could I possibly have just one favorite? The only crayon I’d even consider eating is a burnt orange one…why? Because most orange things usually taste good.

I received a flier while in the blogs and wikis workshop announcing UT Austin’s get together this evening from 5-7p at the Cedar Door at 201 Brazos St., a short distance from the Hilton: map. You probably want to get there before the Longhorns kickoff.

We hope you will check the blog often for reportings from this year’s conference. To browse the blog, just click on any of the keywords to the left. This year, the blog’s organization will be less hierarchical. The keywords or tags are there to make it easier for you to find a topic posted. The cluster of tags is called a tag cloud and you will notice that the more often a tag is used, the larger and darker it will appear in the cluster. This technology has been associated with Web 2.0, a theme to be explored at the 2007 ASIST Annual Meeting in Milwaukee, Wisconsin.
